Trustees of Trust Funds Meeting Minutes
Meeting date: October 27, 2015 @ 4:00 p.m.
Attendees: Ken Paulsen, Vicki Norris, and Linda Nickerson
We met to discuss upcoming events for the rest of the year and review some items that had presented themselves in the last couple of months since our last meeting. First on the agenda was to determine why we are still receiving statements from People’s bank when we removed all the funds back in July, Vicki will contact the bank to see what the statements are all about.
Secondly, a double check was done regarding the wording of all Capital Reserve Funds to ensure a complete understanding on how the funds can be used.
Third, we agreed to all meet in November to go over all the accounts to determine the pay out amounts for the Town, Welfare, College student and Library. Also, to add to the notes as documentation of the amounts to be disbursed for 2015 was discussed. The addition of public hearings for disbursements has been determined to be non binding.
Fourth, the 2014 MS9 forms were sent to the State without all pages and signature, Ken printed and we all signed for mailing out as soon as possible. These were sent to the e-mail provided and then we learned that an additional copy was to be mailed to another location. Ken took care of that for us in October. Think we have this now……
Fifth, we discussed that we each have sign-ins for Charter Trust and that we need to be reviewing regularly. Vicki is going to ask if the Town office has Wi-Fi so we can look at the accounts together at meetings if possible. Also, Linda was going to speak with the Library to see if we might be able to use a quiet area for our meetings there as they do have Wi-Fi.
Sixth, discussion on the upcoming election year to be sure Linda will run for Trustee of Trusts again for a longer term than one year. Linda stated she will make sure to get her name on the ballot.
Seventh, Ken advised that he will be doing a presentation to the Selectboard regarding budget planning on November 19, 2015 which will address the future of the town by increasing the amount of funds put away for Capital Reserve Funds in preparation for expenditures in a proactive way rather than a reactive way on a go forward. This would mean a potential increase in taxes so he thought it would be beneficial if we were all in attendance. Both Linda and Vicki will make every effort to be there.
Eighth, reminder of the MS9 & MS10 that will be needed for 2015 by end of year, this MS10 will be new to us so prior review would be needed. A break out of Interest, Dividends and growth of stock to be reviewed.
Ninth, reminder-January 14th, 2016 @ 4:30p.m. will be our next meeting with Charter Trust to review progress of investments of funds. Change in investment value will be target conversation.
